What we did

The challenge

At Budgetplan, requests and orders came in via email and WhatsApp. Everything was processed by hand: reading, quoting, following up. That consumed almost all of two employees' time and delayed quotes — and so cost revenue.

The kick-off

We analysed the full flow from incoming message to confirmed order. Where does the time go, which steps are truly human work and which can software take over? Security and a human check on edge cases were preconditions.

The approach

We automated the handling with Magento, Claude and Twilio. Incoming messages via email and WhatsApp are read automatically, turned into quotes and orders in Magento, and followed up properly. Edge cases go to an employee, so quality is safeguarded.

The result

Around 2 FTE freed up and a significant revenue increase, because quotes now go out fast and consistently. Staff keep time for customers instead of admin.
